Privacy Policy & Terms of Service
These terms cover the malongbus.com website and the charter and tour transportation services provided by Malong International, Inc. Please read them before requesting a quote or booking a trip.
This page was prepared as a thorough starting point covering the basics for a Virginia-based motor carrier and business website. It is not legal advice. Malong International should have a licensed Virginia attorney review and adjust it — particularly the cancellation, insurance, liability, and dispute-resolution sections — before relying on it.
Privacy Policy
Malong International, Inc. (“Malong,” “we,” “us,” or “our”) respects your privacy. This policy explains what information we collect through malongbus.com (the “Site”), how we use it, who we share it with, and the choices you have. It applies to the Site and to information you give us when requesting a quote, booking a charter, or contacting us.
1. Information we collect
Information you give us. When you submit a quote request, review, or newsletter signup, we collect what you type into the form:
- Name, email address, and phone number
- Trip details: date, group size, trip type, pickup location, destination, and anything you write in the message field
- Review content, star rating, and trip type if you submit a review
- Email address and optional name if you subscribe to updates
Information collected automatically. The Site runs its own first-party analytics rather than a third-party advertising network. When you visit a page we record:
- The page visited, page title, and the referring website
- General device category (desktop, tablet, or mobile) derived from your browser's user-agent string
- A randomly generated visitor ID stored in your browser's local storage so repeat visits can be counted without identifying you
- A one-way cryptographic hash of your IP address, used for spam and abuse rate-limiting. We do not store raw IP addresses with analytics events
- Interaction events such as clicking a phone number, email link, map, or gallery control
We do not use advertising cookies, cross-site tracking pixels, or third-party behavioral profiling on the Site.
2. Cookies, local storage, and embedded content
The Site itself does not set advertising cookies. It stores a single random visitor identifier in your browser's local storage for analytics counting. You can clear it at any time through your browser's “clear browsing data” settings, and blocking it does not prevent you from using the Site.
The service-area map is a drawn illustration by default. A Google Maps embed loads only if you click “View live map,” at which point Google may set its own cookies and receive your IP address under Google's privacy policy. Choosing not to click that button means no Google Maps request is made.
3. How we use information
- To respond to quote requests, prepare estimates, and arrange and operate charter trips
- To contact you about a trip you have booked, including changes, pickup details, and follow-up
- To review, approve, publish, or decline customer reviews
- To send email updates and offers if you subscribed, and to process unsubscribe requests
- To understand which pages and services visitors use so we can improve the Site
- To detect and prevent spam, fraud, and abuse of our forms
- To keep business records and comply with legal, tax, insurance, and motor-carrier requirements
We do not use your information for automated decision-making that produces legal or similarly significant effects.
4. How we share information
We do not sell personal data, and we do not share it for cross-context behavioral advertising. We share information only in these situations:
- Service providers. Companies that host the Site, deliver our email, or process payments, limited to what they need to perform that service for us
- Trip partners. If your trip requires a partner carrier, venue, parking authority, or tour operator, we share only the details needed to run the trip
- Legal and safety. When required by law, subpoena, or government or regulatory request, or to protect the rights, property, or safety of passengers, our team, or the public, including in connection with an accident investigation or insurance claim
- Business transfer. In connection with a merger, acquisition, financing, or sale of assets, subject to this policy continuing to apply
Reviews are public. If you submit a review and Malong approves it, the name, star rating, trip type, and review text you provided are displayed publicly on the Site. Your email address is never published. Please do not include personal details in a review that you do not want to be public.
5. How long we keep information
Quote requests and messages are kept for as long as needed to serve you and to maintain normal business, accounting, and insurance records. Newsletter subscriptions are kept until you unsubscribe. Analytics events are retained in aggregate for trend reporting. You can ask us to delete information sooner using the contact details below, subject to records we are required to keep.
6. How we protect information
Form submissions are transmitted over an encrypted HTTPS connection and stored on our server in a directory that is not publicly accessible. Access to the admin dashboard is limited to approved staff email addresses and protected with one-time login codes. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
7. Your privacy rights
Virginia residents. Under the Virginia Consumer Data Protection Act, Virginia residents may have the right to:
- Confirm whether we process your personal data and access that data
- Correct inaccuracies in the personal data you provided
- Request deletion of personal data you provided or that we obtained
- Obtain a copy of the personal data you provided in a portable format
- Opt out of the sale of personal data, targeted advertising, or profiling in furtherance of decisions producing legal or similarly significant effects — none of which Malong currently does
To exercise these rights, email [email protected] with “Privacy Request” in the subject line. We will respond within 45 days and may extend once by 45 additional days where reasonably necessary, telling you why. We may need to verify your identity before acting. If we decline your request, you may appeal by replying to our decision; we will respond to an appeal within 60 days and, if the appeal is denied, provide information about contacting the Virginia Attorney General.
Other states. Residents of other states with comprehensive privacy laws may have comparable rights. We honor verified requests from any customer regardless of where they live.
Email preferences. Every marketing email includes an unsubscribe link, and you can also reply to any email or contact us directly to be removed. We may still send non-marketing messages about a trip you have booked.
8. Children's privacy
The Site is intended for adults arranging group transportation and is not directed to children under 13, and we do not knowingly collect personal information from them. Malong regularly transports school and youth groups, but bookings and trip communications are handled through adult organizers, chaperones, or school staff. If you believe a child has provided us personal information, contact us and we will delete it.
9. Do Not Track and global privacy signals
Because the Site does not track visitors across other websites or serve targeted advertising, there is no cross-site tracking to disable. Browser Do Not Track signals are therefore not acted on separately.
10. Links to other sites
The Site links to third-party services such as Google Maps for directions. We are not responsible for the privacy practices or content of sites we do not operate. Review their policies before providing information.
11. Changes to this policy
We may update this policy as our services or the law change. The “Last updated” date at the top of this page shows when it was last revised, and material changes will be highlighted on this page. Continuing to use the Site after an update means you accept the revised policy.
Terms of Service
These Terms of Service (“Terms”) govern your use of malongbus.com and, together with any written quote or charter agreement, the transportation services Malong International, Inc. provides. By using the Site or booking a trip, you agree to these Terms. If you do not agree, please do not use the Site or book with us.
1. Who may use the Site
You must be at least 18 years old and able to form a binding contract to request a quote or book a charter. If you book on behalf of a school, business, church, or other organization, you represent that you are authorized to bind that organization to these Terms and to the charter agreement.
2. Quotes, reservations, and the charter agreement
- Information on the Site, including any price, capacity, or availability figure, is provided for general reference and is not an offer to contract.
- Submitting a quote request does not reserve a coach or a date. A trip is reserved only when Malong issues a written confirmation or charter agreement and any required deposit is received.
- Quotes are estimates based on the details you provide. Changes to date, timing, mileage, stops, itinerary, wait time, tolls, parking, driver lodging, or overtime may change the final price.
- If anything in a written quote or signed charter agreement conflicts with these Terms, that document controls for that trip.
3. Payment, deposits, and cancellation
Deposit amounts, payment methods, balance due dates, cancellation deadlines, refund eligibility, and any change or cancellation fees are stated in your written quote or charter agreement. Cancellations must be made in writing, and the date we receive your written notice determines which cancellation terms apply. Charges incurred on your behalf — such as non-refundable parking, permits, tolls, or venue fees — may be non-refundable even where a deposit is refundable.
4. Scheduling, delays, and events outside our control
We plan routes and schedules carefully and make reasonable efforts to arrive and depart on time. We are not responsible for delays or missed connections caused by conditions beyond our reasonable control, including traffic, road closures, construction, accidents, severe weather, mechanical failure, strikes, civil unrest, public-health orders, acts of government, or other events constituting force majeure. Federal hours-of-service rules limit how long a driver may work and drive; itinerary changes that would exceed those limits cannot be accommodated and may require an additional driver at extra cost.
If a coach becomes unavailable, we may substitute a comparable vehicle or a qualified partner carrier to complete the trip. Where a trip cannot be operated for reasons within our control, our liability is limited as described in Section 11.
5. Passenger conduct and safety
- The driver has full authority over the coach and may refuse boarding to, or remove, any passenger who is unsafe, disruptive, threatening, or in violation of law or these Terms.
- Passengers must remain seated while the coach is moving and follow all safety instructions, including seat-belt use where belts are provided.
- Smoking, vaping, and illegal drugs are prohibited on board at all times.
- Alcohol is prohibited unless expressly approved in advance in writing, permitted by law, and consumed only by passengers of legal drinking age. The customer is responsible for compliance and for any resulting damage or fines.
- Weapons, hazardous materials, and any item prohibited by law may not be carried on board.
- Groups including minors must provide adequate adult chaperones. Malong drivers are not chaperones and are not responsible for supervising passengers.
- The customer is responsible for the conduct of the group and agrees to pay for cleaning beyond normal use, for damage to the coach caused by the group, and for any fine assessed as a result of the group's conduct.
6. Luggage and personal property
Luggage capacity is limited by the coach and must be discussed in advance for large loads or oversized items. Passengers are responsible for their own belongings. Malong is not responsible for personal property that is lost, damaged, or left on a coach, and any item recovered will be held for a limited period before disposal.
7. Accessibility accommodations
Malong is committed to serving passengers with disabilities. Because accessible equipment may need to be arranged, please tell us about wheelchair, mobility-device, service-animal, or other accessibility needs when you request a quote so we can plan the appropriate vehicle and boarding assistance.
8. Safety and regulatory compliance
Malong International, Inc. operates as a motor carrier of passengers subject to U.S. Department of Transportation and Federal Motor Carrier Safety Administration regulations and applicable Virginia motor-carrier requirements, and maintains the insurance coverage required for the service it provides. Our USDOT and MC operating authority numbers appear on our coaches and are available on request. To add: USDOT #, MC #, and certificate of insurance details.
9. Reviews and other submissions
Reviews you submit are held for approval before publication. By submitting one, you confirm it reflects your genuine experience and grants Malong a non-exclusive, royalty-free, perpetual license to display, reproduce, and excerpt it in connection with promoting the business. Do not submit content that is false, unlawful, defamatory, infringing, or that contains another person's private information. We may decline, edit for length, or remove any submission at our discretion, and declining to publish a review is not an admission of anything.
10. Website content and intellectual property
The Site, including its text, photographs, layout, graphics, and the Malong name and emblem, is owned by Malong International, Inc. or its licensors and is protected by copyright and trademark law. You may view and print pages for your own use in arranging transportation. You may not copy, republish, scrape, frame, or use Site content for another business without our written permission.
11. Disclaimers and limitation of liability
The Site is provided “as is” and “as available.” We do not warrant that it will be uninterrupted, error-free, or that any content is complete or current. To the fullest extent permitted by law, Malong disclaims all implied warranties, including merchantability, fitness for a particular purpose, and non-infringement, with respect to the Site.
To the fullest extent permitted by Virginia law, Malong is not liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or for lost profits, lost savings, missed events, or missed connections, arising out of your use of the Site or of transportation services. Except where liability cannot be limited by law, our total liability arising out of a trip will not exceed the amount you paid to Malong for that trip. Nothing in these Terms limits liability for death or personal injury caused by negligence, for fraud, or for any other liability that cannot be limited or excluded under applicable law, and nothing limits rights or remedies provided to passengers under federal motor-carrier law.
12. Indemnification
You agree to indemnify and hold harmless Malong International, Inc., its owners, employees, and drivers from claims, damages, fines, and reasonable costs arising out of your group's violation of these Terms, your group's conduct on board, or your breach of a charter agreement, except to the extent caused by Malong's own negligence or misconduct.
13. Governing law and disputes
These Terms are governed by the laws of the Commonwealth of Virginia, without regard to its conflict-of-law rules. Before filing a claim, you agree to contact us and try in good faith to resolve the dispute informally for at least 30 days. Any dispute that cannot be resolved informally will be brought exclusively in the state or federal courts located in Loudoun County, Virginia, and you and Malong consent to the jurisdiction of those courts. Either party may bring a qualifying claim in small claims court.
14. General
If any provision of these Terms is found unenforceable, the rest remains in effect. Our failure to enforce a provision is not a waiver of it. These Terms, plus any written quote or charter agreement, are the entire agreement between you and Malong regarding their subject matter. We may update these Terms; the “Last updated” date shows the current version, and continuing to use the Site or book with us after a change means you accept it.
Accessibility Statement
We want malongbus.com to be usable by everyone. The Site is built to follow recognized accessibility practices — keyboard-operable navigation and controls, visible focus styles, descriptive alternative text for images, sufficient color contrast, a skip-to-content link, and support for reduced-motion browser settings.
Accessibility is ongoing work, and parts of the Site may fall short. If you have trouble using any part of the Site, or need trip information in another format, call (202) 409-8959 or email [email protected] and we will help directly and work on a fix.
